1. About this policy
Chovadé (“Chovadé,” “we,” “us,” or “our”) is a creative studio based in Vancouver, British Columbia. This policy explains how we collect, use, disclose, retain, and protect personal information through chovade.com, our client portal, project communications, and related services.
Our privacy contact is responsible for questions, access requests, corrections, and complaints. Contact info@chovade.com.
2. Information we collect
Depending on how you work with us, we may collect:
- your name, business name, email address, and account status;
- project assignments, media files, filenames, versions, review notes, timecodes, approvals, change requests, and delivery decisions;
- account and security information such as a password hash, sign-in time, session identifier, and activity records, including opening a review page and browser-reported playback starts;
- technical information normally recorded by hosting infrastructure, such as IP address, browser type, request time, and requested pages;
- information you send by email or provide while discussing or delivering a project; and
- images, video, audio, documents, or other material supplied for creative work.
We do not knowingly use the website for behavioural advertising or cross-site profiling.
3. Why we use information
We use personal information to communicate with prospective and current clients; create and administer client accounts; provide private project review, comments, approvals, and delivery; notify the studio when clients submit feedback; show the studio a first-party review activity history; secure and troubleshoot the service; maintain business and project records; meet legal obligations; and respond to access, correction, or complaint requests.
We limit collection, use, and disclosure to purposes that a reasonable person would consider appropriate in the circumstances.
4. Consent and client responsibility
By providing information or using an account, you consent to handling that information for the purposes described here, subject to applicable law. If you provide information or media concerning another person, you are responsible for having authority to do so and for obtaining any required notices, consents, releases, or permissions.
5. Cookies and technical storage
The client portal uses a first-party session cookie that is necessary to keep you signed in and protect your account. It expires when the browser session ends. The current site does not use advertising cookies or third-party behavioural tracking. Review activity is recorded within your signed-in portal session for project communication. It does not track activity across other sites, and a playback start does not establish that a video was watched in full. If broader analytics or non-essential tracking is added, this policy and any required consent controls will be updated before use.
6. Service providers and disclosure
We may provide limited information to hosting, infrastructure, communications, security, or professional service providers where necessary to operate the website and deliver services. Those providers may process information in other jurisdictions and may be subject to lawful access by authorities there. We may also disclose information where required by law, to protect rights or security, or as part of a business transaction subject to appropriate safeguards.
We do not sell personal information.
7. Local creative systems and website hosting
Some Chovadé creative and AI production workflows may operate on locally controlled hardware. The public website and client portal are separately hosted on third-party web infrastructure. A statement that creative processing is local does not mean that portal account data, comments, or hosted review files remain on a local workstation.
8. Retention and deletion
We retain personal information and project records only as long as reasonably needed for active work, delivery, agreed support, legal or accounting requirements, dispute resolution, security, and legitimate business records. The client portal is not a permanent archive. Project-specific retention or deletion periods may be set in a written project agreement. When information is no longer required, we securely delete or anonymize it where reasonably practicable.
9. Safeguards
We use safeguards appropriate to the sensitivity of the information, including account authentication, project-level access control, private media storage outside the public web root, protected streaming, restricted downloads, session security, activity records, and encrypted transport in production. No online system can be guaranteed completely secure.
10. Access, correction, and complaints
You may request access to personal information we hold about you, ask for a correction, withdraw consent where legally available, or raise a concern about our practices. Email info@chovade.com. We may need to verify your identity before responding and may retain information where permitted or required by law.
11. Changes
We may update this policy when our services or legal obligations change. The effective date at the top identifies the current version. Material changes affecting client accounts will be communicated through the portal or directly where appropriate.
